For busy estates and facilities teams working in fast-paced hospital environments, deploying staff and resources efficiently remains a persistent challenge. Current rule-based automation assigns tasks based on availability alone, without accounting for the range of real-world factors that influence whether a task is completed as quickly and effectively as possible. Smart Allocation has been developed to address this directly.
Building on the foundations of Auto Allocation, which has already helped healthcare organisations move away from manual task assignment, Smart Allocation introduces a multi-dimensional scoring algorithm that evaluates more than 20 configurable metrics in real time. Rather than assigning the next available resource, the system scores every possible task-resource pairing simultaneously, identifying the most efficient allocation at any given moment and continuously adapting as operational conditions change.
The algorithm considers a wide range of factors including proximity and travel time between locations, task urgency and priority, estimated completion times, current workload and task status of staff, zone-based working preferences, and idle time and resource utilisation. Each Trust can fully configure and weight these factors to reflect local priorities and operational goals, making Smart Allocation applicable across portering, cleaning, and wider facilities services.
The expected benefits for Trusts include reduced travel time between tasks, faster response times for urgent and emergency activities, improved utilisation of existing resources, and increased task throughput, with even small per-task time savings compounding significantly across hundreds of daily activities.
Smart Allocation will be available as a premium enhancement within the Synbiotix platform, complementing rather than replacing existing Auto Allocation functionality.
